Front Desk Administrative Assistant

ZwillGen PLLC is recruiting for a Front Desk Administrative Assistant position, available in our Washington, DC, office. We are a boutique law firm, with a high-tech clientele, providing counsel and guidance in the areas of data protection and information security, law enforcement and surveillance, and Internet gambling and fantasy sports. Our litigation practice defends some of the nation’s most prodigious media and Internet companies, in class-action lawsuits. Although we enjoy a more casual environment than traditional law offices, professionalism and a strong work ethic are paramount. 

This position combines conventional front-desk duties, along with administrative support to a team of attorneys, as well as opportunities to engage in special projects as the need arises. This multi-faceted role requires a conscientious, detail-oriented and organized professional, with proven interpersonal/communication skills, the opportunity to cultivate interest in the legal environment and to work collaboratively with experienced professionals. 

Position Requirements 

  • High school diploma and a college degree or substantial completion of college degree 
  • Minimum of 1-year office experience or comparable level of responsibility 
  • Ability to work standard business hours with some flexibility for overtime, as necessary 
  • Strong computer skills with emphasis on Adobe, Microsoft Outlook, Word, Excel, PowerPoint 
  • Expertise with MacBook and related applications a plus 
  • Proficient written, verbal, and interpersonal communication skills 
  • Developed proofreading skills are compulsory, with emphasis on grammar and spelling 
  • Ability to coordinate and manage numerous tasks, concurrently 
  • Expertise and finesse to manage a front-desk environment and maintain an organized and efficient
    work area 
  • Keen organizational and time management skills 
  • Ability to work collaboratively 
  • Enthusiasm for new technologies and aptitude for online research 
  • An interest and capacity to learn new software and tasks quickly 

Essential Job Functions

  • Answering phone lines 
  • Greeting Visitors and Vendors 
  • Managing Vendor Service Accounts 
  • Sorting and Distributing Mail and Packages 
  • Handling Petty Cash 
  • Placing Office Supplies Orders and Taking of Inventory 
  • Placing Catering Orders for Meetings and Office Gatherings 
  • Ordering and Stocking Snack Inventory 
  • Attorney Time Entry 
  • Preparation of Expense Reports 
  • Document Preparation/Editing 
  • Coordinating and Scheduling Travel and Overall Calendar Management 
  • Online Research

This position is for our Washington, D.C. office.
