Front Desk Administrative Assitant

ZwillGen PLLC is looking for a full-time Front Desk Administrative Assistant for our New York City office, which is conveniently located two blocks from the Empire State Building. We are a boutique law firm, with a high-tech clientele, providing counsel and guidance in the areas of data protection and information security, law enforcement and surveillance, and Internet gambling and fantasy sports. Our litigation practice defends some of the nation’s most prodigious media and Internet companies, in class-action lawsuits. Although we enjoy a more casual environment than traditional law offices, professionalism and a strong work ethic are paramount.

This position combines conventional front-desk duties, along with administrative support to a team of attorneys, as well as opportunities to engage in special projects as the need arises. This multi-faceted role requires a conscientious, detail-oriented and organized professional, with proven interpersonal/communication skills, the opportunity to cultivate interest in the legal environment and to work collaboratively with experienced professionals. This position allows for telecommuting 2-3 days a week, as needs dictate.

Job Duties and Responsibilities:

    • Make travel arrangements for multiple travelers
    • Calendar management/appointment scheduling
    • Prepare and edit time-entry for timekeepers
    • Draft and edit internal/external communications
    • Prepare and track attorney expense receipts
    • Document preparation and editing
    • Answer phone lines and greet visitors (including vendors and service providers)
    • Sort and distribute mail and packages
    • Order and stock office supplies and snack inventory
    • Liaise with building management
    • Assist on litigation tasks as needed, such as docketing, compilation of discovery documents, binder assembly, etc.
    • Assist on special projects, as needed

Qualifications

    • College degree and at least 1 year relevant work experience
    • Ability to work standard business hours with some flexibility for overtime, as necessary
    • Strong computer skills with emphasis on Adobe, Microsoft Outlook, Word, Excel, PowerPoint
    • Experience with MacBook and related applications a plus
    • Acute proofreading skills are compulsory, with emphasis on grammar and spelling
    • Established ability and enthusiasm to secure cost-effective travel options for multiple travelers, via the internet
    • Forward-thinking approach with the ability to practically and creatively handle tasks
    • Keen organizational and time management skills
    • Strong interpersonal and communication skills
    • Ability to work collaboratively
    • Enthusiasm for new technologies and aptitude for online research

The position is for our New York City office.
